Letter of Agreement / Contract: Sophisticatering cannot reserve the date of your event until this signed letter of agreement and deposit are received. However, we will not accept an alternate agreement for this date without first contacting you about your intentions. Please read carefully, the event details and the Items listed on this contract. Sophisticatering cannot provide product and or services for items that are not listed on this contract. Feel free to make any changes necessary and we will promptly provide you with an updated contract.
Based on your expected number of guests, A non-refundable deposit of 25% of the estimated invoice amount is required to reserve our services for your event.
The “Guarantee Count” is the count that we use to base the amount of food we need to prepare for a function. It is also the count that will be used to finalize the levels of staffing; rental order and prepare the final invoice. This will ensure that we can arrange staffing and purchase the necessary food.
The “Guarantee Count” is due 10 days prior to your event. This “Guarantee Count” can be increased with the approval of Sophisticatering; but cannot be lowered.
Final payment will be due 10 days prior to your event. If this payment is not received by the date listed above, obligations are nullified, and no refunds are due.
Any additional guests’ overages would be due immediately at the end of the event’s catering service.
According to applicable health codes, Sophisticatering may discard any food items where it believes there is a reasonable risk of food-borne illness. Therefore, due to health concerns, leftover food from your buffet may not be given to client at the end of catering service. Any deviation from this policy must have prior approval by Sophisticatering and may incur packaging, chilling and delivery or pickup charges.
In General; Cancellation Terms are as follows …
-Cancelation fee up to (180 days prior to event): 50% of the deposit.
-No refunds will be granted for guests that do not appear on the booked date.
*Deposit is not refunded if client chooses another caterer at the same Venue or changes to a Venue that does not use Sophisticatering’s catering services or is outside Sophisticatering’s service range.
In the event Sophisticatering would need to pursue collection action or other litigation, Client would be responsible for actual Attorney’s fees.
Menu price (per person) is based on client’s original estimated guest count. If the guarantee is considerably less than the original estimated number of guests, we reserve the right to increase the price per person.
Please note that Sophisticatering does not automatically add in gratuity to our invoices, we allow you to determine what our tip should be if you desire to bless us with one.
NOTE: Due to the uncertainty of the Market, Pricing and Availability of Menu options are subject to review and change if necessary. Current Proposals are based on Pricing and Availability at the time, confirmation of such details will be reviewed and adjusted (if necessary) prior to final billing.
