Policies

Sophisticatering cannot reserve your event date until this signed Letter of Agreement and the required deposit are received. While your date remains unconfirmed, we will not accept another booking for the same date without first contacting you regarding your intentions. Please review all event details and items listed within this contract carefully. Sophisticatering cannot provide products or services that are not explicitly listed. You may request changes at any time, and we will promptly issue an updated contract.


Deposit & Reservation

A non-refundable deposit of 25% of the estimated invoice total is required to reserve our services for your event. This amount is based on your expected guest count.


Guarantee Count

The Guarantee Count is the final number of guests used to determine food preparation, staffing requirements, rental quantities, and final billing.

The Guarantee Count is due 10 days prior to your event.

The count may be increased with Sophisticatering’s approval.

The count cannot be decreased once submitted.


Final Payment

Final payment is due 10 days prior to your event.
If payment is not received by this deadline, all obligations are nullified and no refunds will be issued.

Any additional guest overages must be paid immediately at the conclusion of the event’s catering service.


Food Safety & Leftovers

In compliance with health regulations, Sophisticatering may discard any food items deemed at risk for food-borne illness. For this reason, leftover buffet food cannot be provided to the client at the end of service.

Exceptions may be granted only with prior approval and may incur packaging, chilling, delivery, or pickup charges.


Cancellation Terms

Cancellation up to 180 days prior to the event: 50% of the deposit is forfeited.

No refunds are granted for guests who do not appear on the event date.

The deposit is not refunded if:

The client selects another caterer at the same venue,

The event is moved to a venue that does not use Sophisticatering, or

The event is moved outside our service range.

If collection efforts or litigation become necessary, the client is responsible for all actual attorney fees.


Pricing Adjustments

Menu pricing is based on the client’s original estimated guest count. If the Guarantee Count is significantly lower than the original estimate, Sophisticatering reserves the right to adjust the per-person price accordingly.


Gratuity

Sophisticatering does not automatically include gratuity on invoices. Clients may add a tip at their discretion should they wish to bless our team.


Proposal Pricing Policy

Proposals reflect pricing and availability at the time they are created. Due to fluctuations in market costs and product availability, if the price of any specific menu item increases by more than 10%, all proposal pricing is subject to review and potential adjustment prior to final billing. Any required revisions will be communicated promptly to ensure transparency throughout the planning process.
